Optimising inventory with Odoo: recommended methods and workflows

Audit and segmentation of items

Before any customisation, you must carry out an audit in-depth audit to map your product universe. Take the time (yes, that is the keyword!) to identify the fast-moving items: those that boost your turnover (the best-sellers, you know the ones?). Measure the time needed for receiving, picking and shipping; note the bottlenecks, the queues, the preparation errors… This information from the audit will give you a clear view of your bottlenecks. 

Identify the slow-moving products: those references that lie dormant in your warehouse and generate storage costs. Configuring the locations and warehouse zones

 An organised warehouse is the key to avoiding chaos. In Odoo, create distinct locations: a receiving zone to unload the lorries, main storage to maintain your volumes, a picking zone to prepare orders, and a shipping area to finalise parcels. You can even set up “fast zone” locations for ultra-fast-moving items or “fragile zone” locations for delicate references (glassware, electronics…). Equip your operators with mobile terminals and barcodes: one scan and there you go, the transfer is recorded, with no needless re-entry. No more fumbling around, no more swapping Post-its or illegible handwritten notes!

Automating replenishment

“What if Odoo anticipated my needs without me having to think about it?” For each item, you can define a minimum threshold (critical quantity) and a maximum threshold (to avoid overstock). As soon as the quantity drops below the critical line, Odoo automatically generates a purchase request or a manufacturing order. Better still: you factor in supplier lead times, public holidays, and even your seasonal peaks (the sales at Christmas, the “sales” events…) to refine your rules. The result: you say goodbye to surprise stockouts, your budget focuses on the right volumes, and your teams save a huge amount of time since they no longer have to monitor each stock manually.

Setting up cycle counts

The idea: stop bringing all activity to a standstill at every year-end for a full inventory (long, costly and stressful). Opt instead for the cycle count: a cyclical count on a sample of items each week or each month. Classify your SKUs by value or by rotation speed: your top items are counted each week, the others once a quarter. With Odoo, you schedule these sessions: generating count lists, direct entry on mobile and automatic reconciliation of discrepancies. Optimising the receiving and shipping workflows

For shipping, prioritise urgent or VIP orders, then automatically generate your delivery notes and shipping labels. Better still: enable stock routes (push, pull) to automate the transfer between zones: receiving to picking, then to shipping with no manual action. These routes, combined with Odoo’s scheduled actions, ensure that no parcel gets stuck at the back of the warehouse!

Training and engaging your teams

An optimised system is nothing without comfortable users. Schedule short, dynamic workshops: getting to grips with mobile, creating orders, validating cycle counts and interpreting reports. Encourage the use of scanning for every transaction — it is faster and more reliable! Set up an internal wiki or a living knowledge base:
